Privacy Policy

How we look after your personal data.

Last updated: October 2026

Jelly Legs Running Club (“the club”, “we”, “us”) is committed to protecting your personal data. This policy explains what information we collect through this website and as part of club membership, why we collect it, who we share it with, how long we keep it, and your rights under UK data protection law, including the UK GDPR, the Data Protection Act 2018 and the Data (Use and Access) Act 2025.

Who we are

Jelly Legs Running Club is a non-competitive running club for adults based in Canterbury and Deal, Kent, affiliated with England Athletics. The club is responsible for (the “controller” of) the personal data described in this policy.

For anything relating to your personal data, contact our club administrator, Geeta, at geeta@jelly-legs.co.uk, or email info@jelly-legs.co.uk.

What we collect through this website

This website does not use contact forms and does not store your personal data itself. When you email us using the links on this site, your message is sent from your own email account to our club email, and we receive the details you choose to include, typically your name, email address and anything you tell us about yourself and your running.

Like almost all websites, our hosting provider keeps standard technical logs, such as IP addresses, browser type and pages visited, for security and to keep the site running. We do not use these to identify visitors. This website does not use advertising or tracking cookies; see our Cookies page.

What we collect when you join the club

When you apply for membership, we collect the information on our application form. This includes your name, contact details, date of birth and an emergency contact, and any health information you choose to share, such as medical conditions or injuries relevant to running. For insurance purposes we may also ask for a medical note. We keep records of membership payments.

You do not have to give us your data, but we need the details on the application form to accept you as a member. Sharing health information is your choice, but it helps our run leaders keep you safe. If you give us an emergency contact, please make sure they are happy for us to hold their details for that purpose.

Why we use your information, and our lawful basis

UK data protection law requires a lawful basis for each way we use personal data. Ours are:

  • Replying to enquiries and arranging free trial sessions. Legitimate interests: responding to people who contact us.
  • Running your membership, including sessions, programmes and membership payments. Contract: your membership of the club.
  • Keeping you safe at sessions, including holding emergency contact details. Legitimate interests: the safety of our members, and vital interests if you need emergency help.
  • Health information you choose to share. This is “special category” data with extra legal protection. We rely on your explicit consent, which you can withdraw at any time, and on vital interests if you need emergency help and cannot give consent.
  • Registering you with England Athletics, where you ask us to. Contract.
  • Club news and our members’ WhatsApp group. Legitimate interests for messages about your membership and sessions. Joining the WhatsApp group is optional, and you can leave it at any time.
  • Photographs on this website and our social media. Consent.
  • Website technical logs. Legitimate interests: keeping the website secure.

England Athletics

Jelly Legs is affiliated with England Athletics, the governing body for athletics and running in England. If you join England Athletics as an individual member through the club, we pass England Athletics the details it needs to register you, such as your name, date of birth, gender, contact details and club. England Athletics will then receive and process your personal data as described in its own privacy notice, and will invite you to set up a profile on its myAthletics portal, where you can manage your details and privacy settings.

Who we share your data with

We will never sell your personal data. We only share it where needed to run the club:

  • England Athletics, as described above.
  • Our run leaders and committee volunteers, who only see what they need, for example the emergency contacts for the session they are leading.
  • The companies that provide our website hosting, club email and members’ WhatsApp group, which handle data on our behalf or under their own terms.
  • The emergency services, if you need urgent help during a session.
  • Anyone we are required to share it with by law.

Data stored outside the UK

Some of our service providers may process data outside the UK. For example, WhatsApp is operated by Meta and may process data in the United States. Where this happens, the transfer is protected by safeguards recognised under UK data protection law.

Photographs

We sometimes take photographs at club sessions and events for this website and our social media. We ask for your permission when you join, and you can withdraw it at any time by emailing us. We will then stop using new photographs of you, and remove existing ones from this website and our social media where we can.

How long we keep your data

  • Enquiries from people who do not go on to join: deleted within 12 months.
  • Membership records, including health information and emergency contacts: kept while you are a member, and deleted within three months of your membership ending.
  • Records of accidents or incidents at club sessions: kept for three years, as claims can be made within that period.
  • Financial records, such as membership payments: kept for six years for accounting purposes.
  • Photographs: until you ask us to remove them, or we stop using them.
  • Members’ WhatsApp group: you are removed when your membership ends.

England Athletics keeps the data it holds about registered members in line with its own retention policy.

Your rights

You have the right to:

  • ask for a copy of the personal data we hold about you
  • have inaccurate data corrected
  • have your data deleted
  • restrict or object to how we use your data
  • receive your data in a format you can take elsewhere (data portability)
  • withdraw your consent at any time, where we rely on it; this does not affect anything we did before you withdrew it

To use any of these rights, email geeta@jelly-legs.co.uk. There is no charge, and we will respond within one month.

Complaints

If you are unhappy with how we have handled your personal data, please tell us by emailing geeta@jelly-legs.co.uk or info@jelly-legs.co.uk. We will acknowledge your complaint within 30 days, look into it, keep you updated, and tell you the outcome.

You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk/make-a-complaint or by calling 0303 123 1113.

Automated decisions

We do not make decisions about you by automated means, and we do not use your data for profiling.

Adults only

Our club and this website are for adults. We do not knowingly collect personal data from anyone under 18.
